I can’t tell you how excited I was to receive a call about a New Year’s Eve wedding! Especially upon hearing this couple’s unique love story and the special circumstances of their nuptials (and I will honor my promise to respect their privacy). I worked with them to bring together all the elements of an exceptionally memorable New Years Eve wedding.

The couple exchanged vows in the grand entrance hall of their home with their closest family and friends in attendance. Following the ceremony, guests toasted the couple with Dom Perignon. A custom menu of mostly vegetarian hors d’oeuvres and small plates were passed by Puff n Stuff, and guests ate, mingled, and danced until the New Years Eve countdown began.

The weather could not have been more perfect for such a grand fête! Guests were led out onto the client’s private dock to view the fireworks over the lake. They cheered and sipped champagne and asked if they could do it all again next year… (Exactly what we like to hear!)

Orlando-based newlyweds Holly and Jesus tied the knot at Isleworth Country Club in February. Their memorable celebration included many festive Mexican and Latin touches, designed to give their families and friends the feeling of an authentic fiesta.

Their wedding began with an outdoor ceremony, followed by a delightful cocktail reception where guests enjoyed Sangria and delicious hors d’oeuvres. Then, guests entered the ballroom to the music of a Spanish guitar, and were seated at tables named for Mexican cities.

Live entertainment included flamenco guitar music and dancers. Guests enjoyed a delicious meal plus a themed dessert bar featuring churros and tres leches, and everyone danced and partied into the night with music by Solis Productions.

Destination weddings are so much fun!

Last week we welcomed Stacy and Matt from Ann Arbor to sunny Florida!  In a few short months we designed all the elements of their destination nuptials which took place in the town of Celebration.   It was an intimate affair, but the energy was high – there was no doubt everyone was ready to celebrate!

Bride Stacy was stunning in her figure flattering wedding gown, and her attendants looked breezy and beautiful in aqua tea length dresses.  Professional hair and makeup styling made the ladies picture perfect!

Gorgeous floral was a key element for this destination wedding.  The bridal bouquet was exquisite, as were the floral trees which were used at both the ceremony and reception.  Guests enjoyed a fabulous plated dinner followed by dessert and dancing.  The couple made a grand exit with a classic car.

It’s no secret that Florida is a popular destination wedding location – statewide we offer historic hotels, glorious gardens, beautiful beaches and amazing attractions!  Should you be considering a wedding here, we’ve prepared a few Destination Wedding Tips to help you get the most from your out-of-town wedding:

1. Marry off peak. Weekday weddings are by far the most affordable.  Don’t compete with the locals for prime dates and Saturdays; opt for a weekday instead. Vendors and wedding professionals often reserve discounted rates for mid-week weddings.
2. Whenever possible, decor should be ‘multi-purpose’.  For this wedding, two of the floral trees were used at the wedding ceremony and then moved to the reception
3. Work with what you have. The venue was so well appointed, there was little need to bring in linen, decor for the cocktail reception, etc.
4. Don’t leave anything to chance. You can’t simply rely on websites (things are not always as they appear).   Working with an experienced Planner will give you piece of mind; trust them to advise you and guide you to qualified wedding professionals.   (We’re so glad Stacy & Matt chose A Flair for Affairs; if we can help you please let us know!  Otherwise, the Association of Bridal Consultants can be an excellent resource.)
5. Keep It Simple Sweetie. Don’t bog yourself down with too many things to pack (such as cake knives, or favors, etc.), and don’t over-schedule yourself – leave plenty of time for last minute errands, driving to and from various locations, and photo sessions.

Congratulations to Cara & Jared, our newlyweds whose wedding is featured in the premiere issue of Orlando Wedding magazine!

They were wed in January at Mission Inn Resort – which was the perfect backdrop for their romantic and elegant wedding.  Cara’s vision centered on old world elegance that was glamorous and graceful.  From candles to crystals, and cigars to candy bars – this wedding was an enchanting affair! They even had a sparkler exit! One of my favorite things about this wedding was how they incorporated so many family photos into the reception decor; that was a special touch that really enhanced the nostalgic feel of the evening.

Of course there was also a fabulous vendor team working behind the scenes to make ensure that the day progressed smoothly and that everyone enjoyed a stellar evening. Thanks and applause go to:

The Preferred Vendor List

In it’s simplest form, a Preferred Vendor List is a compilation of vendors and their contact information. Naturally, one would assume that the vendors featured on the PVL appear to have the endorsement of the preparer, and are intended to help the recipient (client, consumer, etc.) select qualified and reputable vendors. But is there more here than meets the eye?

What You Need to Know
The reality is that the actual purpose or genuine validity of the list may not always be clear to the recipient. Generally speaking, the caterer or venue where your event will be held will likely provide a Preferred Vendor List or an Approved Vendor List. Or you may receive one directly from your wedding or event planner (we hope you are fortunate enough to have one!). It’s also common for other vendors – such as a photographer or DJ – to present a client with a list of their preferred vendors.

5 W’s of Preferred Vendor Lists

Who: It’s imperative to understand who is on the list and why. It’s always a good idea to ask “How do you select the vendors on your list?” or “What is the criteria for becoming a preferred vendor?” and “Do you have personal experience with each of these vendors?”

What: Is the PVL a select list of  tried and true vendors?  Or is it something else?  Try to assess the type of PVL.  Some vendor lists are “pay to be included”  (advertisers) while others are more akin to a list of “favorites”.   In my opinion, the first type is the best.  The second two list types have little if any value. Why? Because they are not based on specific criteria or qualifications. You can’t possibly know whether a vendor is on a list because they wrote a check, give or receive a referral fee, or have a cross referral agreement (I’ll scratch your back if you scratch mine).

When: “How recently has this list been updated?” The answer may surprise you!

Where: Where are the vendors located? Some lists are based proximity (such as nearby to the venue)… But how convenient is it for you to meet with them? You may prefer to hire someone who is based closer to where you reside.

Why: If you are able to qualify the list as a good resource, then it’s wise to give strong consideration to the vendors listed. Why? Consider this example: My company prepares a custom list for each of our clients based on budget, personality, style and positive past experiences. I feel that it’s extremely important to tailor my PVL to the client because no two clients have the same needs, personality or style.

PROS and CONS of Preferred Vendor Lists

PRO: Vendors on a PVL may offer you a discount; you should always ask “Do you offer special pricing or exclusive promotions to couples getting married at Such-and-such Hotel?”

PRO: Vendors on a PVL typically have better knowledge of a property. They won’t get lost, they know where to go once they arrive, they know who to speak with if they need something (instead of coming to you with their issue) and what is expected of them. Hence, you won’t find a flip-flop wearing DJ, chronically-late officiate, or a beer-guzzling photographer on a PVL.

CON: Vendors on a PVL may not be the best bet for you IF the person who created the list is not in tune with what today’s couple’s are looking for. (This problem is more common if you are not in a metropolitan area.)

CON: Sometimes venues and hotels are reluctant to work with vendors they don’t know (and with good reason). You may need approval from the venue in order to bring in ‘outside’ vendors.

PRO:  If the PVL is comprised of vendors who have built a relationship with the caterer, venue or planner, then you can rest assured that you are being referred to trusted professionals.

CON: If the PVL is comprised of paid advertisers, you certainly would want to know that up front, and that information should be disclosed to you.

In early December I was approached by colleague Debbe King (Project Manager Special Events, LYNX) regarding a very special project: She needed to plan a wedding for a couple who had requested to have their wedding on a LYNX bus. With the date rapidly approaching, I worked quickly and contacted a few other colleagues who graciously offered their services to help make the couple’s wedding wishes come true.

LYNX’ “Love Bus’’ became a wedding chapel for Tonja Willis and Tyrone Smaw, who chose the place they met to be the place they were married.

Tonja & Tyrone’s Wedding Story…

The ceremony took place on brisk and sunny December afternoon inside the “Love Bus’’ painted for LYNX by local artist Donna Dowless.  Minister Michel Alvin McWhorter performed the wedding with 20 guests seated in the bus parked in front of LYNX Central Station in downtown Orlando.

The interior of the bus was decorated by A Flair for Affairs and Cheryl’s Distinctive Creations to give it that ‘ceremony’ feel. “This was even better than I expected,’’ Willis said, after stepping out of the bus to a round of applause from passengers and wedding vendors at the downtown bus terminal. “I thought it would be a little different to get married in a bus, and it turned out really nice.’’

The couple met while riding LYNX for transportation to work. “I’m usually very shy, but as soon as I saw Tonja, I felt like I had to take a chance on getting to know her,’’ Smaw said. “We ended up talking the whole time ‘til I got off the bus. After I called her, we started using the bus to go on dates because neither one of us had a car, so it’s kind of like it was meant for us to get married here.’’

LYNX has never hosted a wedding on one of its buses. Chief Executive Officer Linda S. Watson agreed to do it on a one-time basis because “it had the right feel for the holiday season.’’ “The timing and situation made it a nice event for us to participate in,’’ she said. “We are happy to help Tyrone and Tonja get their married life started the way they hoped for and wish them great success in the years ahead.’’

Elisa Delgardio helped the couple by arranging flowers, photography, videography, a wedding cake and even the bride’s wedding gown. ”This wedding would not have been possible without the support an incredible vendor team! Everyone I contacted jumped on board immediately and graciously donated their services. I think I was as overwhelmed and excited as the bride!”

Each month, I have the privilege and the pleasure of working with Kerline Docteur PBC to coordinate networking luncheons for Central Florida members of the Association of Bridal Consultants. The purpose of the luncheons is tri-fold:

First, monthly meetings bring ABC members and potential members (guests) together to build relationships.  Vendor relationships are essential to delivering the best products and services to our clients and facilitiating ”team dynamics”.   

Second, the meetings provide a forum to educate our members.  We bring in speakers and create special programs to keep our members on the cutting edge of wedding and event design, as well as business and marketing trends.  

Third, it’s important to build the presence of ABC within our community.  ABC is an international association with a history that spans over 26 years.  With over 4,000 members located in all 50 states and in 27 countries, ABC’s  goals have always been to raise professional standards in the wedding industry and to make brides happy.  By developing an active Local Networking Group (LNG) we bring attention to the benefits of  ABC membership and showcase the professionalism of our members.    

This year (2009) shines brilliantly as one of our finest and most rewarding to date!  We have planned and coordinated nine luncheon events at venues throughout Central Florida.  In June, we held our third annual “Showers of Happiness” event to benefit Habitat for Humanity.

In July, we hosted a spectacular educational event entitled “Indian Weddings 101: Defining the Indian Wedding Experience“. For this particular event, we had engaged local Indian Wedding experts to explain the elements and cultural traditions of Hindu, Sikh and Muslim weddings.  As in years past, October marked the end of our meeting calendar and we were determined to create a memorable event! We tapped some of our best resources (members!) to provide catering, decor, entertainment and ‘enhancements’ for our event. We also had the generous support of a few friends (future members…?) and when all the elements came together the outcome was sensational!

Heather Canada, ABC of First Coast Weddings presented a very insightful educational session entitled Business Administration for Creative Types in which she shared some excellent time management and organizational techniques. After Heather’s presentation, attendees enjoyed a delicious three course luncheon prepared by the catering team at the Rosen Centre Hotel. Then we revealed a special treat: a live performance arranged by ABC member Lisa Kovach (Key Artist Group)!

We are so grateful to the long list of fabulous professionals who made our closing meeting of 2009 such an incredible success! Today I have an exciting announcement!

Clearly this is a huge honor and I’m elated to be included among the country’s top wedding vendors!

Do you remember the last event or wedding reception you attended? What do you recall: The food? The entertainment? The “look” of the room? Just close your eyes and reflect for a moment; try to think of the things that were most memorable and pleasing.

Aha! I bet the pleasing part makes it a bit harder. No doubt that more than a few of you thought about the wedding with the DJ who thought he was Elvis, or the event with the cash bar (surprise!) -and you forgot your wallet.

The more events I do, the more I remember only what is remarkable. Remarkable can be fun, outstanding, unexpected and impressive. Remarkable can also be uncomfortable, annoying, disappointing and catastrophic. As your wedding and event planner, my goal is to make your event memorable for all the right reasons.

In terms of decor, remarkable doesn’t necessarily translate into expensive. Details that are well thought out can be seamlessly incorporated into event decor and the table top design thereby creating a look that is remarkable in a visual and textural sense. (If you’re wondering what I mean about ‘well thought out details” try to imagine a table top with so many tchotchkes – bells, cameras, scrolls, bags of chocolate kisses, etc. – it looks like the favor catalog threw up; and, yes, for some bizarre reason people still do this.)

Decor and design are most remarkable when they draw you in, and you experience the vibe as it was intended to be: exciting, chic and sexy, warm and inviting, modern, etc. The best designs are not limited to what can be seen; incorporating smells, tastes, physical contact, sights and sounds into the design actually creates a more memorable experience. In other words, the five senses overlap and influence each other, and combined they create the overall impression, which in turn becomes your memory of the experience.

This is why we ask our clients to describe their vision of the event. Even if they insist that they have no idea about what they want, they truly do… We ask them to imagine what it looks like - including colors and lighting, what time of day it is, how many people are present, how the space feels (intimate, modern, elegant, indoors or outdoors, etc.) and then we begin to design an event based on their  preferences and our interpretation of their style.

I must admit, sometimes the finer details do not become crystal clear until the very end.  It really is an organic process.  And it’s a challenge we face with every event: How do you know how far to go? Sometimes less is more, sometimes more is more.

Do You REALLY Need a Wedding Planner? I say, “Heck, YEAH!”

In this era of cutting back and pinching pennies, it’s only natural for brides to look at what costs they can cut from the budget. And since most of us have been planning our wedding since we were, oh I don’t know …… FOUR!!!! …… we tend to think “oh, it’s just a wedding! Anyone can throw one of those together!” So it’s also natural to think a wedding planner is just an extra expense.

Want to know what I think? Well, I’m going to tell you anyway.

“In today’s economy” (a phrase I’ve come to hate more and more each day), it is more important than ever to have a wedding planner.

Planners are the ones who actually SAVE you money:

· They review your contracts to be sure that what you THINK you’re getting is what you’re actually getting.

· They have a huge Rolodex of wedding vendors and can match you up to the ones who can do what you want on the budget you have.

· When touring a venue, the bride is caught up in the emotion of the moment and is only seeing how pretty everything will look. The planner is looking at parking spaces, what condition the restrooms are and where they are located, how and where the bar and the caterer will set up, and are there enough outlets for the DJ and the caterer’s carving station?

· When a bride is talking to the caterer, the bride is in turmoil trying to decide between chicken and fish. The planner is asking what the server/guest ratio is and how much is the cost of each server?

Let me share some stories on how planners have helped brides.

- Bride hires wedding planner after selecting the venue but before signing the venue contract. When planner reviews the contract, she finds the bride has contracted for the use of the building ONLY. Bride thought she was getting tables, chairs, linens and lots of other things that the bride thought “were always included” at a reception. The planner saved the bride over $6000 on a bad contract. Well worth the $2000 the bride paid the planner.

- Bride decides to forego the professional planner and use her best friend, who after all, was a bridesmaid three times, so she knows ALL about planning weddings! The friend failed to take note of the facility’s $2000 fee for turning on the air conditioning and the newly married couple had to come up with this money at the very, VERY last minute, which was a severe cut into their honeymoon fund.

- The band hired by the bride was telling bride and planner where they would be setting up, what time they would be there and where the wives’ table would be. Planner corrected band member by showing him the already-decided place they would set up, giving him the actual time he would be there and asked him what he meant by a wives’ table? Band member says, “Oh the wives always come to all of our gigs.”

Planner told him this was not a “gig”, this was a wedding, the wives were not on the guest list, and there would be no wives table because there would be no wives. Band member began to argue the point. Planner fired the band and hired a professional DJ. Bride was relieved.

When times are good and people have good jobs, they don’t worry about costs as much. I’m not saying they don’t comparison shop, but they tend to buy bells and whistles instead of staying in a budget. It’s easy to plan a wedding when you’re not paying attention to every penny.

When times are tough, a couple just can’t afford last minute surprises. But they’ve never planned a party for 200+ people before and there are questions they just don’t know to ask. An event planner knows those questions and when he/she asks them, the bride saves money.

As a caterer, I’m always relieved to see a professional planner walk into the room. I know the details are going to be handled, things will run on schedule, and it will be a very pleasant event for everyone.

If you have a tight budget, you NEED a wedding planner. Today, more than ever, it’s the best investment you can make in your wedding.

Remember, it’s your wedding. You have ONE SHOT to get it right. Get a professional on your side who is going to be looking out for you on your very special day.
